Privacy should be understandable.

MeetingAgreement processes the information needed for users and participants to create, manage and accept agreements. We aim to collect as little information as possible and use it for clear, limited purposes.

MeetingAgreement does not record a meeting or store its audio, video, transcript or conversation. The service does not use a microphone or camera for this purpose. A user may, however, enter information in an agreement’s title, description, location or rules.

We may process names and email addresses, account and sign-in information, organization and membership information when relevant, and information about participation in an agreement. When someone accepts, we may retain which version they accepted and when. We also process information entered by a user in an agreement and necessary technical and security data. Passwords are stored as hashes, not in plain text.

The information is used to provide the service, identify users and participants, show which agreement a participant was asked to consider, document who accepted which version and when, manage accounts and organizations, and maintain security and technical operation. Names and email addresses provided for an agreement are not used for marketing or lead generation.

Our privacy principle is that a personally owned agreement does not automatically become available to an organization merely because the user belongs to it. An agreement created in an organizational context may instead be organization-owned and subject to the organization’s clearly stated policies and permissions. The context in which an agreement is created should be clear. The current application is primarily built for organization-owned agreements; personal workspaces and every level of organizational visibility are not yet fully implemented.

According to the current code, the public website sets no cookies. The application uses the necessary meetingagreement_session cookie for sign-in, session management and security. It is not used for advertising or behavioral tracking. We currently use no verified analytics or marketing cookies.

MeetingAgreement does not sell personal data. The reviewed application currently contains no integrations with advertising platforms, analytics services, external AI services, Teams or Zoom that process meeting content. Hosting and operational providers may need to process technical data for the service to work; final details about such providers must be verified for the production environment.

The application processes session IDs, security tokens and technical timestamps. Administrative security events and technical errors may be logged with internal user, membership and organization IDs. The web server and operational environment may also process IP addresses and request information; exact logging and retention depend on the verified production environment.

Information is kept for as long as needed for the service’s operation and security and to preserve relevant agreements. Specific retention periods and automatic deletion have not yet been established for full production launch. We will not publish invented time limits; this notice will be updated when verified retention periods have been decided.

Under applicable data-protection law, you may have the right to receive information about personal data being processed, request correction or deletion and, where applicable, request restriction or object to certain processing. These actions are not always available as self-service features in the application. Contact us so that we can assess your request.
